Privacy Statement

This privacy notice explains how we use your data in relation to your attendance at a Glimmer event. Occasionally you may be asked if you would like to stay in touch with us and consent for your personal details to be retained and used to communicate with you (in accordance with your stated preferences).

What Personal data will be processed?

The personal data we process will be:

  1. The information you provide in the form or via a third party application such as Eventbrite to register for an event or by other means such as in an email or over the telephone:

    • your title, name, email or telephone contact details;

    • your child’s name and age

    • Postal details

  2. For certain events we collect biographical information and this may include photographs.

  3. Records of communications sent to you by the Glimmer events Jersey or that we receive from you in relation to an event you will attend/have attended.

What is the purpose of the processing?

  • To reserve a place for you and/or your child at the event(s) you desire to attend;

  • To provide you with information about the event(s) for which you have registered, that includes event updates, and possible changes, cancellation or similar information;

  • To provide you with information about accessibility, transportation, parking, etc. that may impact on your attendance to the event;

  • To fulfil and monitor our legal responsibilities, for example, under public safety legislation;

  • In accordance with your preferences, to communicate with you about other events, news, and opportunities by Glimmer Events Jersey.

  • For general administration and organisation of our events, for example to contact you with information about an event that you’re attending or taking part in as we may need to use your details for planning and logistics, to invoice you, to provide you customer service in relation to the event, and general administration of your attendance at the event.

  • To ask you for your feedback or review after an Event you have attended;

  • To pass on your contact details to our logistics partners to enhance your experience at an Event you plan to attend or take part in eg as a vendor;

  • To assess the activity of our attendees at our Events.

  • To create an attendee list (which will include your name (not email or telephone number), which we may share with an Exhibitor or Sponsor at the Event.

  • To film and photograph the Event which will be used to market our services and to promote future events on our website, social media channels and in marketing materials. Where possible you will be notified; to provide legal basis for processing data, and we will provide clear instruction on how you can opt-out of any photography or filming.

  • if we intend to use the photography/film from an Event, for example, this will be in the invitation and/or on signs at the entrance to the Event OR you will be informed if you share pictures on social media and tag Glimmer events that we have shared the Media.

  • Photographs and videos, once uploaded are available to the public these are kept as a record memory of the event that took place- on our website and on social media pages for you to view, or for marketing our future events.

  • To improve our services, marketing, customer relationships and experiences; and

  • To plan better future events and attendee experience.

Ticketing Services

  • We may use a 3rd party ticketing service such as Eventbrite or Jersey Art Centre for event promotion and bookings. Please note that these ticketing services are third-party services that are not owned or managed by Glimmer Events Jersey. You should therefore refer to their terms and conditions of privacy policy as we do not accept any responsibility or liability for their policies.

  • All ticketing related information will be deleted after 6 months from the event 

What is the legal basis for processing?

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • To perform the contract we are about to enter into or have entered into with you.

  • For our legitimate interests (for example, in order to manage and develop our business, study how customers use our services, to develop them, grow our business, and inform our marketing strategy).

  • Where we need to comply with a legal obligation.

Where we ask for consent as a legal basis for processing your personal data, You have the right to withdraw consent at any time by contacting us.

Where you may provide us with personal data about yourself that is special category Data, for example relating to any disability, allergies, or other dietary requirements that you have, we will process this information with your explicit consent, or if it is necessary

  • to comply with the law;

  • Or for the establishment, exercise or defence of legal claims;

Who will your personal data be shared with?

Your data is shared only with the glimmer team and staff who need access for the processing purposes set out above.

We may share some of the information with external organisations providing services for the event you are attending, for example dietary requirements where catering is offered. The information shared will only be used to provide the service required and will not be retained by these organisations after the event is concluded.

How long is your data kept for?

Glimmer will keep the information you provide when you register for an event for 6 months after the event has occurred after which all personal data will be deleted. 

If you consent to stay in touch with us, essential information to communicate with you will be kept until you withdraw your consent or unsubscribe to specific communication.

This webpage is effective from December 2019. It is reviewed when necessary and at least annually.. This Privacy policy has been updated in February 2022
